RPSL Renewal: Plan Your Document Review
Reviewed 27 October 2026 · NavSure Maritime Consultancy
A practical renewal tracker for records, responsibilities and submission readiness.
Work backwards from the actual licence
Record the licence expiry and the filing window applicable to your case after checking the current rules and portal guidance. Assign a responsible person and internal review dates. Do not rely on a reminder alone to establish the legal deadline.
Review changes since the last application
Check company and office particulars, management changes, vessel/shipowner arrangements and inspection follow-up records. Identify documents that need renewal or correction. Review Bank Guarantee and fee requirements against the current official provisions and the company’s circumstances rather than reusing a previous application amount.
Keep a submission tracker
Use columns for document, owner, current version, validity, open question and completion date. Keep application acknowledgements and authority correspondence in the same controlled file. This tracker is a consultancy preparation aid and does not replace the prescribed forms or official checklist. Early organisation helps reveal missing information; it does not guarantee approval or prevent every regulatory query.
